This policy outlines the parameters around booking flights, insurance, transfers, travel companions, and paid travel time for IRL Meetups.
Flights βοΈ
- You'll organize your own flights using the virtual Ramp Visa card. For more details, please see Paying for Work Expenses with Ramp Virtual Visa.
- We ask that you choose a reasonable basic Economy flight (but you donβt need to find the cheapest flight with multiple layovers!). Find one that gets you there without too much strain and is well-priced. If you prefer to book a business-class seat, that's not a problem. We can refund the cost of an economy seat, and you can pay the difference for the business class upgrade.
- It's okay to book your flights to and from another location for a vacation. You can also choose to upgrade your economy seat at your own cost. For simplicity, we recommend paying for your flight in full and we will reimburse you for the average economy fare between your home city and the meetup destination.
Driving π
- If you live close enough to drive to the meetup location and prefer to travel by car, please keep your fuel receipts. If you are a US team member, we will reimburse you for this expense on your invoice or in the next pay cycle.
- If you plan to extend your drive to or from the meetup location (taking a longer or scenic route), we may need to calculate fuel costs based on the approximate miles between the meetup and your home. This calculation will also consider the cost of fuel. If this applies to you, please DM Sarah. She will help determine a fair reimbursement amount.
Travel health insurance π₯
- All team members are required to organize travel insurance.
- Each team member has access to a $80 USD travel insurance stipend.
Security π
Regardless of your role, everyone is expected to take precautions when traveling to ensure the safety and security of their work. Please review our Travel Securely policy before your trip.
Paid travel time β±οΈ
- Travel time doesn't come out of your PTO. It is the same as going to any other appointment during your Float work week - we support you in working your schedule around the appointment.
- Team members traveling more than 20 hours one-way to the meetup get a day in lieu. It's one day in lieu total, not one for each leg of the travel. The rationale for this is that we always plan to have two paid travel days on either side of the conference included. For example, the meet-up will be planned for Tuesday evening, Wednesday, and Thursday, but you will have Monday and Friday booked as paid travel days.
- Team members who need to travel over their normal weekend or during one of their regional holidays to get to or from a meeting will be allotted additional days in lieu.

Transfers π
Float covers your transfer costs between the meetup airport and your local airport. However, depending on the meetup location, transportation may be organized differently:
